Motus Theateris looking for a full-time Office Manager & Executive Assistant to work with Motus Theater’s leadership, to provide organizational, financial, operations management, and administrative duties related to all aspects of nonprofit infrastructure and production activities that are essential to ensure that Motus fulfills its mission. 

Motus Theater’s mission is to create original theater to facilitate dialogue on critical issues of our time. We aim to use the power of art to build alliances across diverse segments of our community and country. Motus specializes in multimedia performances exploring U.S. history through the lens of race and class, and in developing narratives with leaders living on the frontlines of violence. Motus has three autobiographical monologue projects: JustUs, where people who were formerly incarcerated share stories about the impact of the criminal legal system on them and their families; UndocuAmerica, where leaders with DACA share poignant personal stories about growing up undocumented in the U.S.; TRANSformative Stories (in development) aims to interrupt dehumanizing rhetoric and policies targeting transgender and non-binary people. Motus strives for local impact in the Denver Metro area, regional impact throughout Colorado, and national impact with our current tour of JustUs monologues with District Attorney’s offices across the country.

This is a complex role that requires managing and executing competing and shifting priorities in an organization with campaign and performance intensity. The ideal candidate for the Office Manager & Executive Assistant has three or more years of experience in nonprofit administrative management. The successful candidate has strong organizational, communication, as well as interpersonal skills to work with Motus’ leadership, staff, presenters, collaborators, funders, and the general public. They are meticulously attentive to details and self-directed, yet capable of taking direction. They enjoy improving processes and identifying and recommending new or updated nonprofit business policies. Spreadsheets are their comfort zone. Motus is invested in recruiting staff that reflects our diverse constituency and we will prioritize applicants who have been personally impacted by the criminal legal system, immigration, and/or discrimination against transgender/non-binary people.

Responsibilities include:

Operations & Administrative Support:

  • Manages Motus Theater’s general phone line, email, and P.O. Box;
  • Assist staff with troubleshooting office equipment and systems;
  • Orders and manages office and project supplies and equipment within the confines of annual budget and approval from the Artistic and/or Producing Directors;
  • Maintains organizational files in hardcopy and digital formats;
  • Assesses administrative & operations processes and policies and makes recommendations for new or improved policies & procedures;
  • Maintains task list and a system for ensuring timely follow-up on all assigned tasks/projects;
  • Creates and improves business and programming tracking spreadsheets;
  • Assists in preparing, and picking up/dropping off materials and mailings for various campaigns and performances;
  • Support leadership with planning, production, and logistics for organizational, development, and program-related meetings, workshops, performances, and travel
  • Marketing support: retrieving and organizing marketing assets, communications with designers, website updating, sending out newsletters;
  • Manages front of house at Colorado events (merch. sales, ticket sales, donations, evaluations, & volunteers at performances);
  • Data management – data entry/retrieval including support with Donor Snap, evaluations, and e-communications;
  • Assist Producing Director with grant submittals and follow-up;
  • Other administrative and operational support duties as assigned.

Bookkeeping & Financial Support

  • Prepare monthly financials for leadership review;
  • Manage good internal financial processes that protect the organization from vulnerabilities;
  • Prepares documents for monthly and year-end reconciliations by the bookkeeper;
  • Manage contract bookkeeper;
  • Ensure timely completion of all tax fillings (990s, 1099s, sales) and financial review;
  • Manage all accounts payable/receivable;
  • Supports the preparation of organizational and project budgets.

Payroll/HR Support

  • Manages PEO company;
  • Runs payroll;
  • On-Board and Off-Board all staff;
  • Manage all HR benefits including enrollment, updates, and troubleshooting;
  • Maintain and update personnel files.

Executive Support to the Artistic Director:

  • Supports the Artistic Director in logistics, technology, and schedules; arranges meetings, and negotiates emails and calendars as needed;
  • Provides calendar management, including scheduling and coordinating meetings, appointments, and travel arrangements;
  • Prioritizes and coordinates conflicting commitments and proactively adjusts schedules as necessary;
  • Drafts professional documents, including emails, reports, and other correspondence.

Necessary Skills & Qualifications:

  • Three or more years of related experience in nonprofit office management;
  • Bachelor’s degree in business, nonprofit management, or related field (advanced degree is a plus);
  • Excellent organizational skills, attention to detail, and problem-solving ability;
  • Strong interpersonal, verbal, and written communication skills;
  • Ability to self-direct, take initiative, recommend, and implement process improvements;
  • Ability to prioritize and maximize workload, and manage multiple projects and deadlines;
  • Demonstrated qualities of an effective team player: ready to pitch in for any all-hands-on-deck moments; attributes of honesty, confidentiality, respect, and professional integrity in support of the organization;
  • Ability to work 40 hours a week in Boulder, Colorado, primarily at Motus’ office. Flexibility to adjust weekly schedules to accommodate performances, workshops, and events on weekends and evenings.
  • Reliable access to a car to facilitate gathering and distributing Motus event materials, mailings, and business; 
  • Working knowledge of nonprofit financial statements, and accounting systems;
  • Working knowledge of QuickBooks Online from the perspective of the user;
  • Modern computer technology skills, including proficient use of Microsoft Office Suite, Google Suite;
  • Ability to work in the Boulder/Denver Metro area;
  • Commitment to the values of Motus Theater.

Preferred skills:

  • Nonprofit accruals bookkeeping experience.

Compensation & Benefits:

This is a full-time (40hrs/week), non-exempt, position. Salary range is $50,000 to $75,000. It is a broad salary range commensurate with experience within the most vital skill sets needed for this diverse and complex job. Benefits package consists of health benefits (including vision and dental), 401K, PTO, sick time, and company holidays. This job is executed in person.
